We receive many telephone and email enquiries from companies wanting to thank their staff, clients as well as suppliers for the effort and support over the years.
There are many aspects of a function that one needs to bear in mind, when having to squeeze every bit out of your budget.
Do you have the function on site, at your own offices, or do you book a venue? At first glance, it seems a no-brainer, have the function at your own office. However, what you need to consider is the cost of hiring in equipment, like, tables, chairs, lighting, sound equipment, kitchen equipment, staff etc. Most of these items are provided by the venues and are covered in your cost per head. Also, the beverages are all on site and you are able to limit the alcohol brands you have on offer, you are also able to set a limit on the spend or request a cash bar.
We have just finished submitting a proposal to a client in this exact situation. Although they are having their function on their own premises, we have suggested a cold canapés menu with minimal decor, using mostly lighting and a flair tender who doubles up as a bartender as well as some exciting entertainment.
I mentioned decor, decor is really anything that you use to dress up the environment where your guests are going to gather. We use lighting a lot as it adds colour especially your brand colours, light for evening functions and some create movement.
As it is the end of the year and most people are in a festive mood, why not get your guests involved. Select a theme for your function and advise your guests that they need to either dress up or bring along a prop that fits within the theme you have selected, as entrance. This can create some pre-function excitement and hype.
There is no reason for your tight-budget function to be any less exciting and successful.
